Payroll Guides (PR)
Resources and step-by-step guides to understand payroll compliance in Puerto Rico.
Product video analytics
Compare manual playback, first completed viewing and subsequent signup clicks by module and language.
Read guide →
- When publishing is authorized, enable analytics in Publishing and publish or republish. Development previews do not collect these events.
- Inspect product_video_manual_play, product_video_first_complete and product_video_signup_click. Each fires at most once per module/language visit; loops do not add conversions.
- Filter by module, language and origin (manual/autoplay). Completion and signup clicks retain the first playback origin; completed indicates whether the video finished before the click.
- A signup click is not a created account or proof of causation. Attribution applies only while the module page remains open and after its video starts; no identifiers or personal data are stored.
Security: passkeys and MFA
Protect your account with Face ID, fingerprint, a security key, an authenticator app, or email, according to your organization’s policy.
Read guide →
- Open Settings > Security and choose an allowed method. We recommend a passkey on supported devices.
- For Face ID, fingerprint, or a key, name the device and follow the browser’s secure prompt. The device decides which verification it offers.
- For an authenticator app, scan the QR and confirm the code. For email, request a code and use it within 10 minutes.
- Save backup codes when shown: they appear only once. During sign-in, choose “Use another method” to switch.
- Sensitive actions require reauthentication. Remove lost passkeys from Settings > Security.
Dashboard
Your starting point: key indicators (active employees, hours, payroll) and system alerts that need attention.
Read guide →
- Check the top cards for year-to-date totals (hours, gross and net payroll).
- Address or dismiss system alerts (for example, employees who haven't punched in).
- Use the “Customize” button to choose which widgets to show.
Punch Clock
Record clock-ins, clock-outs and lunch breaks. Captures your GPS location to validate where you punched. Works even without internet: the punch is saved on your device and syncs automatically.
Read guide →
- Select your name from the employee list.
- Press “Clock In” when starting your day and allow location access.
- If you skip an enabled photo (even when optional), give a reason of at least 10 characters. Your punch is saved pending approval and your manager is notified; canceling does not submit it. View your exceptions in Hours Log.
- When skipping a clock-in photo, your original attempted time is preserved while you enter the reason (up to 10 minutes and within the same day).
- Record “Lunch Out” and “Lunch In” as needed.
- Press “Clock Out” (or “End day” if leaving early) when you finish.
- No signal? Punch anyway: you'll see “Punch saved offline” and a pending counter. When internet returns it syncs automatically (or press “Sync now”); the time and GPS that count are from the moment you punched.
Timesheet
Review your punches day by day, verify worked hours and request corrections if something is wrong.
Read guide →
- Pick the date range you want to review.
- Verify regular and overtime hours calculated per day.
- If a punch is wrong, request a correction with the reason.
Weekly Summary
Quick view of the week: total hours per employee, overtime and days worked.
Read guide →
- Move between weeks with the arrows.
- Compare each employee's regular and overtime hours.
Payroll
Create payroll periods, process calculations (PR/federal taxes) and mark payments as issued.
Read guide →
- First confirm the firm's jurisdiction in Settings: if it is not confirmed, a red notice appears and you cannot create or process payroll.
- Press “New period” and choose the dates.
- Check the Hacienda withholding tables notice: it shows the year and source of the 499 R-4.1 tables in force used for automatic withholding.
- Before processing, press “Review with Ponchi”: the system runs automatic checks (open punches, duplicates, high overtime, employees with zero hours, unusual net-pay changes) and shows a 🟢/🟡/🔴 traffic-light report.
- Review each employee's calculated hours and amounts.
- Press “Process” to compute deductions and taxes, including PR Income Tax Withholding per each employee's mode (automatic, CPA fixed amount, or no withholding).
- If an employee uses automatic withholding and there are no tables in force for the year, payroll will not process until the tables are loaded.
- Once paid, mark the period as “Paid”.
- From a processed or paid period's detail, you can export its QuickBooks journal as CSV, backup Excel, or PDF, grouped by period or by employee.
Pay Stubs
View and download your pay stubs with earnings, deductions and year-to-date detail.
Read guide →
- Select the pay period you want to see.
- Review earnings, deductions and net pay.
- Press “Explain this pay stub” so Ponchi explains each deduction in plain words (also available in the mobile app).
- Download the stub as PDF if needed.
Employees
Manage each employee's file: personal data, pay rate, effective labor profile, agreements, supervisor and documents.
Read guide →
- Press “New employee” to register someone.
- Fill in name, SSN (encrypted automatically), pay rate and pay frequency.
- If you choose “Professional Services”, read the legal warning, check the confirmation and accept the legal dialog when saving (it is recorded in the audit log; this classification withholds no Social Security, Medicare or SINOT).
- Complete the “Hacienda Withholding (499 R-4.1)” section: withholding mode, personal status, dependents, allowances and additional withholding per the employee's certificate.
- Assign a supervisor for the approval flow.
- On the employee detail page, press “Edit” to complete or correct personal and employment information, including fields that are still blank; shift, language, status, employment type, supervisor and work location use defined lists.
- Record new effective-dated address versions and manage emergency contacts from their tab; the system preserves prior history.
- The Social Security number stays outside the general editor and can only be revealed through the protected password-and-reason flow.
- Open the employee detail and select “Labor compliance” to review the FLSA/Law 180 profile, probation periods, tipped status, collective-bargaining coverage and signed effective-dated agreements.
- Review monthly vacation and sick-leave accrual evidence; every event preserves the hours, rule, version and decision used in the calculation.
Time Off & Requests
Request vacation, sick and personal time; check balances and use the special options allowed by current rules and agreements.
Read guide →
- Check your available balances at the top.
- Press “New request”, choose the type and dates.
- For family sick leave in Puerto Rico, provide the notice date and certification status; the system checks the annual limit and required balance reserve.
- If an effective vacation-fragmentation agreement exists, you may request hours instead of full days.
- Track the status: pending, approved or denied.
Approvals
Approval queue for supervisors: time off, employee requests and attendance exceptions.
Read guide →
- Review the time-off and requests tabs.
- Approve or deny each request with a note if needed.
- Handle attendance exceptions (late punches, out-of-area punches).
- In Attendance exceptions, review punches without photos and their reasons; approve or reject each exception. They are not automatically approved.
Schedules
Weekly shift calendar. Supervisors create and edit shifts; employees check their schedule.
Read guide →
- Move between weeks to see assigned shifts.
- As a supervisor, click a day to create or edit a shift.
Documents
Company document center: handbooks, policies and notices. Digitally sign documents that require it.
Read guide →
- Open a document to read it.
- If it requires a signature, press “Sign” and confirm.
- Admins can upload new documents and see who has signed.
Forms & W-2
Library of official PR and federal forms, with W-2 generation and AI-assisted filling.
Read guide →
- Find the form you need and download it (includes the official SURI 499R-2c/W-2cPR Excel template).
- In the W-2 tab, generate the year's forms (managers and admins).
- To correct filed W-2PRs, use “Export correction Excel (499R-2c)”: download the SURI template pre-filled with annual data, complete it, and upload it to SURI.
Reports
Hours, payroll and employer-cost reports, including a landscape payroll-period totals PDF.
Read guide →
- Open Reports and choose Payroll period totals. Year and quarter filter by period end, even when Payroll Date displays the pay date; or select a finalized period.
- Review period rows and totals. * means period end when the payment date is missing; a blank cell means unavailable, not zero.
- Download the letter-landscape PDF. Social Security includes employee SS and Medicare; reimbursements are informational and not added to net twice.
Compliance
Live findings computed with effective-dated legal rules: minimum wage, overtime, accruals, documents and more.
Read guide →
- Review each finding and its severity.
- Verify the effective date, source and version of the applied rule; void or repealed rules never govern calculations.
- Open the employee file to correct a legal classification or document an effective agreement without rewriting history.
- Fix the cause or dismiss the finding with a justification.
Quarterly Filings
PR quarterly filings (941-PR, unemployment, SINOT and more) with status tracking, per-employee Hacienda withholding reconciliation and PDF/Excel export.
Read guide →
- Choose the year and quarter.
- Review each filing's calculated amounts.
- Check the PR withholding reconciliation card: it totals what was withheld per employee across the quarter's processed or paid payrolls and exports to Excel to reconcile the 499 R-1B.
- Mark each filing as filed once submitted.
- Use the annual filing center (W-2PR): follow the guided checklist to upload the EFW2PR file to SURI (Hacienda) and the EFW2 to BSO (Social Security), and check the filing status.
- Admins will see a note about the consolidation of Form 941-PR into the federal Form 941, currently under review.
Settings
Company info, tax and wage parameters, jurisdiction (Puerto Rico), punch policy and geofenced work locations.
Read guide →
- Fill in company info (name, EIN, address).
- Confirm the firm's jurisdiction (Puerto Rico): it is required and payroll cannot be created or processed without it. It also appears as a step in the Initial Setup wizard.
- Review tax parameters for your jurisdiction; the system automatically applies the Social Security wage base in force ($176,100 in 2025; $184,500 from 2026) and the 0.9% Additional Medicare on wages above $200,000 per year.
- Define work locations with a geofence radius to validate punches.
- The “About” tab shows the application info (version, build date, license) and NOVENTRY LLC, the company that develops the ecosystem.
Punch Kiosk
A shared tablet or computer where all employees punch with their personal PIN, without individual accounts.
Read guide →
- In Settings, open the “Kiosk” tab and generate the kiosk link.
- Assign a PIN to each employee (or let the system generate one).
- Open the link on the on-site tablet; it stays pinned in kiosk mode.
- Each employee taps their name, enters their PIN and punches in, lunch or out.
- When skipping an enabled photo, employees enter a reason (at least 10 characters); the punch remains pending approval in Approvals.
- If you need to invalidate the link (for example, it was shared by mistake), regenerate it from the same tab.
Photo Verification
Captures a photo of the employee when punching (web, kiosk and mobile) to prevent someone else from punching for them. The photo never blocks the punch.
Read guide →
- In Settings, open the “Photo verification” tab and enable capture.
- Choose whether the photo is optional or required; if required and missing, the punch is still recorded but creates an exception for review.
- Adjust retention (90 days by default); photos are deleted automatically, punches never are.
- Optional: set a different mode per location in the Locations tab (inherit, disabled, optional or required).
- Review thumbnails in Timesheet and decide identity exceptions in Approvals.
WhatsApp Notifications
Send important payroll and request alerts via WhatsApp to employees who opt in.
Read guide →
- In Settings, open the “WhatsApp” tab and enable the service.
- Each employee opts in with their WhatsApp number from their profile.
- The system sends alerts such as payroll paid or approved requests.
- You can see the history of sent messages and their status in the same tab.
Export My Data
The owner can download a ZIP with all company data as CSV files: employees, punches, payroll, leave, requests, documents, members, tax concepts, ledger accounts and audit log.
Read guide →
- In Settings, open the “Export my data” tab (visible to the owner only).
- For security, SSNs are always masked (last 4 digits) in general exports. Only an authorized, audited official filing may include the required complete identifiers.
- Press “Generate export”; the file is prepared in the background and you'll get a notification when it's ready.
- Download the ZIP from the recent exports table. It includes a LEEME.txt describing each CSV file.
- The link expires after 24 hours and the file is deleted from the server after download. Every export is recorded in the audit log.
Journal Entry
Export each payroll as a balanced journal entry (debits = credits) ready for QuickBooks or Excel, with customizable account names.
Read guide →
- In “Chart of accounts”, rename accounts to match your chart and optionally add their account numbers.
- Open a processed or paid period's detail in Payroll; draft periods cannot be exported.
- Press “Export to QuickBooks” and choose QuickBooks CSV, backup Excel, or summary PDF.
- Choose one entry for the period or separate balanced entries for each employee.
- The CSV imports into QuickBooks as a Journal Entry; numbered accounts appear as “1234 · Name”. Excel includes the entry and employee detail.
- Every successful export is recorded, and the latest export date and format are displayed.
Users
Create login accounts and assign roles: admin, manager, employee or CPA (financial read-only).
Read guide →
- Press “New user” and link it to an employee.
- Assign the right role for their responsibilities.
- You can also send email invitations.
- When you create an invitation a QR code is shown next to the link: the invitee can scan it with their phone to open the invitation (and the mobile app if installed).
Subscription
Manage your PunchRoll plan: plans from $99.99/mo (up to 5 employees) to $499.99/mo (up to 50). Each extra employee over the cap: $15/mo. Change plans or update your payment method.
Read guide →
- Check your current plan and employee limit.
- Pick the plan based on your company's employee count (5, 10, 20, 35 or 50).
- Complete the secure card payment on the Stripe page.
- Use the billing portal for invoices, plan changes and payment method.
- Mobile Access: PunchRoll 20/35/50 plans include the mobile app; on PunchRoll 5 or 10, enable it with the “Mobile Access” add-on ($14.99/mo) from the Mobile Access card on this page.
My Payroll Rates
With the “Generic (other country)” jurisdiction, the system does NOT seed tax rates: you define your own deductions (name, rate, wage base), the display currency and the overtime rules (weekly threshold and multiplier); all calculations use only what you configure here. With the Puerto Rico jurisdiction, this page lets you adjust overtime rules while respecting the legal minimums.
Read guide →
- Read the disclaimer: the rates are yours; PunchRoll does not legally validate them.
- Under “Preferences” pick the currency (ISO code, e.g. USD, EUR, MXN) and adjust the overtime rules.
- Press “New rate” to add a deduction: name, rate (%), optional wage base and whether it applies to the employee, the employer or both.
- Edit or remove existing rates as your local rules change.
- New payrolls will use the rates in force at processing time.
- In Puerto Rico: if you set overtime below the legal minimum, a warning dialog appears; you may cancel or accept at your own responsibility (this is recorded).
Hacienda Withholding Tables
Global (super admin) management of PR Treasury withholding tables. The system includes the official 2017 Employer's Manual table with the PER-PERIOD method (Appendices 1 & 2): withholding is computed directly on each period's wages (weekly, biweekly, semimonthly or monthly), without annualizing, and includes the young workers exemption (ages 16-26) up to $40,000 gross per year (with a per-employee waiver option). Manual annual tables can also be created for other years.
Read guide →
- Choose the tax year and download the CSV or Excel template; it contains a complete data set clearly marked as an EXAMPLE.
- Replace every example with the official Hacienda 499 R-4.1 table: source, effective date, exemptions, and brackets for all four periods.
- Upload the file. Correct every row-level error shown; if there is any error, nothing is saved.
- Review the source, effective date, exemptions, ranges, and rates in the preview, then import the table as a draft.
- Open the draft, add scenarios from official Hacienda examples, and verify that every result is green.
- Activate the confirmed draft; payroll starts using it immediately. If a scenario fails, do not activate unless you verified it another way.
- To prepare the next year, use “Copy to next year” on the active table, update the new draft from the official publication, and repeat verification.
Platform Console and Support Mode
Outside support mode, the super admin only sees the platform console (Companies, CPA Firms, Metrics, Mobile Licenses, Forms, Legal Center, Global Audit Log and Withholding Tables) and the system blocks any change to companies' operational data. To assist a company, enable support mode: you temporarily act as that company's admin, with every action audited.
Read guide →
- Go to “Companies” and find the company that needs assistance.
- Press the “Manage as support” button (life buoy icon) on the company's row.
- You'll see that company's full menu plus an amber banner indicating support mode; every change is audited as support.
- The subscription lock does not block you while assisting the company.
- When done, press “Exit support mode” on the banner to return to the platform console.
Platform Metrics
Global (super admin) panel summarizing the whole platform: active and suspended companies, CPA firms and their clients, employees, users and active mobile licenses.
Read guide →
- Open “Platform Metrics” from the console menu.
- Review the cards: active/total companies, suspended, CPA firms, CPA clients, employees, users and mobile licenses.
- Use these figures to monitor growth and spot suspended or inactive companies.
Email Health
Super admin console to verify the email system works: provider status (Resend), configured sender, the last 20 sends with their result and a button to send yourself a test email.
Read guide →
- Open “Email health” from the platform console menu.
- Check the provider card: green means the system can send emails; red means RESEND_API_KEY is missing.
- Verify the configured sender; without a verified domain, Resend uses onboarding@resend.dev and only delivers to the account owner.
- Review the table with the last 20 sends: date, recipient, subject, type and whether it was sent or failed (hover over “Failed” to see the reason).
- Press “Send test email” to receive an email at your own address and confirm everything works.
- When an email fails, the invitation, registration and password-recovery screens show a copyable link so you can share it manually.
Mobile Licenses
Manage mobile licenses per company: the super admin grants free beta seats, while owners or admins purchase additional seats at their plan's price.
Read guide →
- Open “Mobile Licenses” from the console menu.
- Pick the company in the dropdown.
- Review beta, plan-included, purchased, used, and remaining seats separately.
- If the company has active beta access, enter the free grant and confirm. This never creates a Stripe charge.
- As an owner or admin with a paid plan, review the unit price and monthly difference, then confirm before updating the purchase.
- Press “Deactivate” on an active license if the employee no longer needs it; deactivating does not delete the employee.
Educational Mode (Demo Codes)
Super admin management of educational codes: create codes with a usage cap and expiration date so students can activate practice sandboxes at /demo with sample data. Sandboxes show a permanent banner, their PDFs carry the “EJEMPLO — SIN VALIDEZ” watermark, are excluded from platform metrics and are purged automatically 30 days after expiring.
Read guide →
- Open “Demo Codes” from the console menu.
- Press “Create code”, enter a name (for example, the course), the expiration date and the usage cap; you can let the system generate the code.
- Share the code with students: they go to /demo, enter the code, their name, email and password, and get their own sandbox with sample data.
- Check each code's sandboxes (owner email, last access and whether they processed payroll) with the detail button.
- Deactivate a code when the course ends; expired sandboxes are purged automatically after 30 days.
Hacienda Withholding (CPA Portal)
CPA portal view to manage 499 R-4.1 parameters for linked clients' employees: editor with withholding simulator, quarterly reconciliation and Excel export. Every change is audited with the firm's identity and notifies the client's admins.
Read guide →
- Open the CPA Portal and go to the “Withholding” tab.
- Pick the client; you'll see its employees with their current 499 R-4.1 parameters.
- Open an employee's editor, adjust mode, filing status, dependents or allowances and use the simulator to preview the estimated withholding before saving.
- Save: the change is audited with your CPA firm identity and the client's admin gets a notification.
- Use the reconciliation section to tie out quarterly withholding and export it to Excel.
Managed filings (CPA Portal)
Service for CPA firms that file their clients' returns: enable the service per client, work the deadline-ordered queue (941-PR, 499 R-1B, DTRH, chauffeurs and W-2PR), move each filing through its workflow, attach evidence and download the period's document package. Firm and client get reminders 30, 14 and 3 days before the deadline.
Read guide →
- Open the CPA Portal and go to the “Filings” tab.
- Enable the service for each client whose returns your firm files; enabling generates the year's calendar.
- Use the filters (client, year, form, status) and work the queue: “Start preparation” → “Send to review”.
- From review: “Mark as filed” (requires confirmation number and date) or “Return to preparation” with a note explaining what to fix.
- Attach the evidence (acknowledgment or confirmation) and use “Period package” to download a ZIP with the quarter's or year's already-generated documents.
- When the agency responds, use “Confirm filing”; the client sees the full history on their Quarterly page.
Filings managed by your CPA
If your CPA firm files your returns, the Quarterly page shows an informational card with each filing's status: due date, state, confirmation number, evidence and history. You don't have to do anything: the view is read-only and the dashboard's “Filings” widget shows with colors whether everything is on track.
Read guide →
- Open “Quarterly”: if your CPA enabled the service, you'll see the “Filings managed by your CPA” card.
- Review each row: form, period, due date (red if overdue, amber if close) and status.
- When a filing is “Filed” or “Confirmed”, you'll see the confirmation number and can download the evidence.
- Use the history icon to see who changed the status and when, and the package icon to download the period's documents.
- On the dashboard, add the “Filings” widget: green = on track, amber = due soon, red = overdue.
Tax Center
Tax obligations board: filings (941-PR, 499R-1B, W-2PR), validation, signature, transmission or manual upload to SURI/SSA/EFTPS, acknowledgments and dual-control payments.
Read guide →
- Review the board by year: each row shows employer, form, period, due date and status.
- Open a filing and use the buttons in order: Calculate, Validate, Generate and Approve.
- Download the file and upload it to the portal (SURI/SSA/EFTPS) or transmit if the channel allows; follow the guided flow.
- Record the receipt and the official acknowledgment when the agency responds.
- If there is a payment, schedule and approve it with a password (dual control); reconcile it later with the external reference.
Direct Deposit
Manage employee direct deposit: authorizations, pay runs and bank reconciliation.
Read guide →
- Review the summary of enrolled and pending employees.
- Record manual or on-behalf authorizations with the employee's consent.
- When paying a payroll, generate the deposit run and reconcile it once the bank confirms.
- If your bank accepts ACH files, enable the bank file (NACHA) option when paying: download the file, upload it to your bank's portal, then mark the batch as paid.
Analytics
Interactive dashboards for attendance, hours and labor costs to spot trends and make decisions.
Read guide →
- Pick a dashboard: attendance, hours or costs.
- Adjust the date range and filters by employee or location.
- Use the charts to compare periods and spot patterns.
- For the payroll report (Payroll Totals) choose the Payroll type: one row per payroll in date order, with your company name, report date and a totals row.
- Every deduction gets its own column under its exact saved name (Social Security, Medicare, Income Tax, Disability, Chauffeur Insurance, ASUME and each additional deduction). A saved total without itemization is shown as 'unitemized' instead of an invented split.
- Use the employee filter for all employees or a single one. Each row is dated by pay date, or by period end (marked *) when no pay date exists. The Status column shows whether the payroll is paid or still a draft.
- Download as landscape PDF (columns that do not fit continue on additional pages) or as Excel/CSV.
Executive Dashboard
Management view with high-level financial and operational indicators for owners, admins and CPAs.
Read guide →
- Review the period's key indicators (labor cost, hours, payroll).
- Compare against prior periods to see the trend.
- Use this view in management meetings or with your CPA.
Audit Log

Read guide →
- Filter by date, user or action type.
- Open an entry to see the change details.
- Use it to investigate discrepancies or for compliance.
Leave Catalog
Browse the leaves that apply in your jurisdiction (Puerto Rico): vacation, sick, maternity, jury duty and more, with their legal basis.
Read guide →

Public Puerto Rico Payroll Guides
Browse PunchRoll's public resources for understanding payroll concepts and workplace compliance in Puerto Rico.
Read guide →
- Open Payroll Guides from PunchRoll's public website; no sign-in is required.
- Select the resource related to the payroll or compliance topic you want to review.
- Read the full guide and use its related links for additional information.
- Confirm specific requirements with your CPA or labor advisor before making tax or legal decisions.
Ponchi Assistant
Floating chat available on every page (web and mobile). Answers payroll questions using your company's real data and can only show you what your role allows.
Read guide →
- Press the Ponchi bubble (bottom-right corner) to open the chat.
- As an administrator or owner, continue the web tour in another browser using the same user and company. Step, skips, dismissal and completion sync; First steps still reads real company records.
- Wait for progress to save before switching devices. Retry if an error appears. Simultaneous changes respect the server version. A completed tour stays closed unless you explicitly restart it; it never performs actions for you.
- Ask about rates and deductions: Ponchi reads your company's configured tax parameters, never makes up figures, and always recommends verifying with your CPA.
- In Payroll, use “Review with Ponchi” before processing a period to see the automatic-checks traffic-light report.
- In Pay Stubs (web or mobile), use “Explain this pay stub” for a plain-language breakdown of each deduction.
- Any action that changes data (creating a period, requesting time off, etc.) always asks for your confirmation before executing.
- Your privacy is protected: Ponchi never sees full Social Security or bank account numbers, and each employee can only query their own information.
Integrations Management
Connect and configure Moov, QuickBooks, Email and Notifications for your company.
Read guide →
- Go to Settings and select the Integrations menu or tab.
- For Moov, validate your business details and approve micro-deposits to enable direct deposit.
- For QuickBooks, connect your account using OAuth, map your ledger accounts, and choose your review period before enabling auto-sync.
- Set up your own email provider (Resend) by entering your API key to customize messages sent to employees.
- Check the Activity Log of each provider to ensure data is being sent and received correctly.
