Restaurant Payroll in Puerto Rico: Tips, Shifts, and Close
A workflow for turning shifts and punches into reviewable payroll while keeping tip records separate and professionally reviewed.
Closing requires daily discipline
Restaurant payroll combines shifts crossing midnight, station changes, meals, absences, multiple roles, and late adjustments. Risk is not solved at the end with an export. It is controlled daily through clear schedules, complete punches, assigned reviewers, and a genuine deadline for resolving exceptions before calculation.
Design the close backward from payday. Allow managers to correct attendance, administration to validate compensation, and the CPA to review tax and tip issues. PunchRoll organizes existing shifts, photo punches, hour review, payroll close, and files generated in an official format; it does not replace those approvals.
From published shift to worked time
The schedule shows what was planned; punches show what was recorded. Compare clock-in, clock-out, and meals by day and location. Resolve missing, duplicate, off-schedule, or wrong-location punches before totaling the week. A short note should explain every edit and identify who made and approved it.
For shifts crossing midnight, verify the correct day and pay period. Keep roles distinct when someone cooks during one shift and serves during another. Do not erase the original record to match the schedule. The audit trail should preserve what occurred, the authorized correction, and its operational reason.
The photo is a review signal
The photo accompanies an event for authorized visual review but does not replace manager approval. PunchRoll does not represent it as face recognition or biometric identity authentication. A missing image or one without a face can be flagged without blocking the time record. Investigate with context rather than presuming fraud.
Before using photos, adopt specific informed consent, a reasonable alternative, limited access, and counsel-reviewed retention. Do not reuse images for promotion or unrelated purposes. Train managers not to download them to personal devices. Technology settings do not replace a privacy policy that is understood and followed consistently.
Tips require a separate record
PunchRoll does not have a tips module. It does not allocate, track, distribute, or calculate tips, administer tip pools, or determine a tip credit. The restaurant must keep separate records for reported and distributed tips, electronic payments, cash, roles, internal rules, and adjustments required by its advisors.
Puerto Rico DOLHR published Secretary’s Opinion 2024-01 concerning the tip credit and related records. Application depends on current rules and facts. Before using a credit, pooling funds, or reflecting tips in payroll, obtain CPA and employment-counsel review. Do not turn card sales into employee income without documented reconciliation.
Close and approval checklist
Close attendance: approve shifts, meals, absences, and edits. Validate jurisdiction, classification, role, rate, frequency, and tax data. Compare active employees with time records. Investigate unexpected hours and scheduled workers with none. Give the CPA separate tip records and identified exceptions rather than one unsupported total.
Calculate a draft and compare hours, gross pay, deductions, withholding, and net with the previous period and operating reports. Use layered approval: managers certify time, administration confirms hires and rates, and an authorized leader approves totals. If reopened after cutoff, document the correction and reconcile again before payment.
Files, cadence, and professional notice
Reconcile totals, payment method, and year-to-date balances. PunchRoll generates files in an official format but does not automatically transmit or file them, and generation does not prove acceptance. Inspect each file, complete the official process, and retain confirmation. Review exceptions daily and identify improvements after payday.
